Job Title: Care Coordination & Scheduling Supervisor
Company: Roo Home Care dba Paid.care Location: Remote (Supporting Illinois Operations) Compensation: $50,000 – $60,000 per year
About the Role
Roo Home Care dba Paid.care is seeking a Care Coordination & Scheduling Supervisor to lead our Illinois operations. This is a high-impact, solo-contributor leadership role designed for a professional who is an expert in the Illinois Community Care Program (CCP) and the DHS/DRS Waiver systems.
As a solo supervisor, you will be the operational heartbeat of the branch. You will own the entire lifecycle of care—from initial intake and caregiver onboarding to daily schedule management—ensuring our clients receive consistent, high-quality care while maintaining total program compliance.
Key Responsibilities
- End-to-End Scheduling: Build, manage, and adjust all caregiver schedules independently. You will be the primary person responsible for solving service gaps, call-offs, and urgent staffing needs to maintain 100% coverage.
- Compliance & Onboarding: Lead the intake process for new clients and the recruitment and onboarding of new caregivers. You will ensure all files and background checks meet strict Illinois Department on Aging (IDoA) standards.
- Caseload Management: Act as the primary bridge between clients, families, and the General Manager. You will manage the coordination of care plans and ensure all services align with state-authorized hours.
- External Relations: Serve as the professional liaison for Illinois Case Coordination Units (CCUs), Managed Care Organizations (MCOs), and DHS Case Managers.
- Quality Assurance: Conduct required well-being calls and supervisory visits to ensure client satisfaction and caregiver performance.
- Administrative Operations: Manage office communications, maintain accurate electronic records, and oversee Electronic Visit Verification (EVV) to ensure seamless billing and payroll.
The Ideal Candidate
- Experience: Proven experience working with an Illinois CCP Provider or an Illinois Case Management organization is highly preferred.
- Knowledge: Strong understanding of the Community Care Program (CCP) workflow, including service delivery plans and IDoA documentation requirements.
- Self-Reliance: As this is a solo supervisor role without a direct support team, you must be a self-starter capable of managing a high volume of tasks and urgent adjustments independently.
- Skills: Expert-level organizational skills and professional phone etiquette. You must be comfortable navigating a fast-paced environment where accuracy in scheduling is paramount.
- Tech-Savvy: Proficiency in learning and using software for scheduling, payroll, and state-mandated EVV systems.
Schedule & Requirements
- Status: Full-time
- Hours: Monday – Friday, 9:00 AM – 5:00 PM
- Location: Remote (Must be familiar with the Illinois home care landscape)
