OVERVIEW OF POSITION:
We are seeking an Administrative Assistant to support the Business Development, Marketing, and Bids & Proposals teams. This role involves a mix of recurring administrative tasks and project-based work, with a strong focus on organization, and coordination. The ideal candidate is detail-oriented, proactive, resourceful, and adaptable to shifting priorities across the three divisions.
ESSENTIAL JOB FUNCTIONS:
- CRM Database Management
- Maintain and update the CRM database, to ensure the accurate tracking of opportunities, bids in progress, customer details, and bookings.
- Enter new quote requests received from Business Development and Program Teams.
- Document & Compliance Management
- Route Signature Sheets for approval and conduct bi-annual audits to ensure compliance.
- Organize and manage electronic files to ensure accessibility and accuracy.
- General Administrative Support
- Manage a variety of ongoing administrative and project-based tasks across Business Development, Marketing, and Bids & Proposals.
- Take ownership of miscellaneous projects from start to finish, exercising judgment and autonomy in execution.
- Anticipate team needs, ask clarifying questions when details are limited, and propose solutions or options.
- Ensure tasks are completed accurately, efficiently, and on time while balancing shifting priorities.
SKILLS • EXPERIENCE • EDUCATION:
- Prior experience in an administrative or support role (preferably in a related field).
- Strong organizational skills and ability to manage multiple projects.
- Experience with CRM software is a plus.
- Proficiency in Microsoft Office (Word, Excel, Outlook, Access, PowerPoint).
- Excellent communication skills, both written and verbal.
- Ability to work independently and collaborate across teams.
- Detail-oriented with a proactive mindset.
- Resourcefulness and ability to anticipate needs, clarify details, and follow through on assignments.
